TaxDome Switches to Active Client Pricing: What Tax and Accounting Firms Should Do Next
TaxDome now prices by active clients, from 150 for $1,500 a year with 20 seats. What counts as active, what users report and what tax firms should do next.
TaxDome now prices its plan by active clients instead of by seat, and practitioners on r/taxpros began comparing the new price with their old licences on November 2, 2026. TaxDome’s pricing page, read on November 3, 2026, starts the single plan at 150 active clients for $1,500 a year, billed annually, with 20 seats included. All TaxDome prices in this article are in US dollars, as listed on that page.
For tax and accounting firms, the practical question is which contacts count. TaxDome treats a client as active after any activity in the past 12 months, such as a login, an upload, a message or an invoice. One practitioner in the r/taxpros thread pointed out that leads and former clients who log in to the portal would count as well.
Key findings
- Pricing unit: TaxDome lists one plan for tax, bookkeeping and accounting firms, priced by active clients and starting at 150 active clients for $1,500 a year, shown as $0.83 per client a month.
- Seats and add-ons: the plan includes 20 seats, an AI add-on costs $200 a month for the whole team, and unlimited seats, an SLA or custom security terms fall under custom pricing.
- Definition: an active client is a client with any activity in the past 12 months; contacts without activity cost nothing, and importing a client list is free and unlimited.
- Self-reported effect: a solo practitioner with about 235 clients estimated a move from $700 a year to about $2,100 a year, while some multi-seat firms said the new price is lower once payment credits are counted.
- What now drives the count: for firms that run lead intake through the TaxDome portal, every prospect who logs in becomes an active client for the following 12 months.
What TaxDome changed in its pricing
TaxDome’s pricing page sells one plan “for tax, bookkeeping, and accounting firms, with every core feature from client intake to delivery and payments”, and prices it by active clients starting at 150. The headline reads “Everything you need, for less than $1 per client a month”. At 150 active clients the page shows $0.83 per client monthly and $1,500 as the total, billed annually.

Source: taxdome.com/pricing, read with the client slider set to each tier on November 3, 2026 at about 08:10 Singapore time. Between tiers the slider shows other totals; for example, 600 active clients shows $6,000 a year. The per-client figure at 500 is higher than at 150.
The pricing page FAQ lists five questions that bear on renewals: what happens if the client count grows during the year, whether billing is monthly or annual, whether the new pricing affects existing customers, whether a multi-year plan is available and what happens above 20 seats or 3,000 clients. The answers were collapsed on the page and were not read for this article. The page footer states that TaxDome serves 15,000+ firms, 40,000+ practitioners and 6 million+ clients, which are TaxDome’s own figures.

What counts as an active client in TaxDome
TaxDome defines an active client as “a client with any activity in the past 12 months, such as logging in, uploading documents, sending messages, or receiving an invoice”, and adds that “contacts without activity cost nothing.” The FAQ describes an active client as “someone genuinely working with your firm through TaxDome, not just a name on your list”. It also states that importing a client list is free and unlimited and that “each client account counts on its own.”
The definition turns on activity in the portal, not on whether the client paid the firm that year. The cases below apply that wording to situations common in tax and accounting offices; the last column gives the part of the definition or the thread each case rests on.
| Situation in a tax or accounting firm | How it counts under TaxDome’s definition | Basis |
|---|---|---|
| A client list imported from another system, with no logins, uploads, messages or invoices since | Not counted while there is no activity | “Importing your client list is free and unlimited, and contacts without activity cost nothing” |
| A prospect who signs up through the portal to book a consultation, logs in and never engages the firm | Counted, because logging in is listed activity | A practitioner using portal self-sign-up for lead intake said such leads would now count |
| A former client who logs in once to download last year’s documents | Counted, because logging in is listed activity | The same practitioner said former clients who log in to retrieve documents would count |
| A client whose only contact in 12 months was an invoice sent through TaxDome | Counted, because receiving an invoice is listed activity | TaxDome’s definition names “receiving an invoice” |
| Related people or entities that each have a client account | Each account is assessed separately | “Each client account counts on its own” |

The four activities in the definition are examples introduced by “such as”, so the list is not closed. A firm whose own setup produces other portal activity for prospects or past clients should read its account list against the full wording rather than the four examples alone.
Why TaxDome’s active client pricing matters for tax and accounting firms
TaxDome’s move from seat licences to active clients ties the bill to client count rather than team size, and the self-reported effects in the r/taxpros thread run in both directions. The thread opened with the summary “$1500/year for only 150 active accounts” and had 193 comments when read on November 3, 2026. The figures below are what practitioners posted about their own accounts; none were checked against invoices.
What practitioners reported in the r/taxpros “TaxDome Price Update” thread, November 2, 2026 (self-reported)
| Practitioner situation | What the practitioner reported | Comment time, UTC |
|---|---|---|
| Solo practitioner, one licence, about 235 clients | “Going from $700/year to around $2100/year” | 16:00 |
| A user quoting the in-app pricing card | “At this renewal, every account you buy upfront is 30% off”; the user read the card as billing accounts added during the year as excess at a higher rate | 16:12 |
| A user pasting the pricing card | “Every $1,000 collected through TaxDome Payments earns a free account, applied automatically at renewal” | 17:02 |
| Some multi-seat firms | The new price is lower than their seat licences once payment credits are counted | 15:20 and 15:47 |
| A firm using portal self-sign-up for lead intake | Leads and former clients who log in to retrieve documents would now count | 19:32 |

The reports point to three variables that set each firm’s renewal price: the number of client accounts with activity, the number of seats and the volume of payments collected through TaxDome. A solo practice with a long client list and one licence reported a higher bill. Some firms with several seats reported a lower one once payment credits were included.
Several users said they would look at Karbon or Canopy. Other users replied that Canopy charges separately for features, describing it as “nickel and dime”. These are user statements in the thread, not a review of either product.

What tax and accounting firms should do next before a TaxDome renewal
- Count active clients before buying accounts: list every client account and split it into clients expected to have work in the coming year, prospects who never engaged and former clients. Users quoted a pricing card that takes 30% off accounts bought upfront at renewal, and one user read the same card as charging more for accounts added mid-year, so the count matters before the renewal date.
- Keep prospect intake outside the portal: take bookings, intake answers and first documents through a booking page, a form and an upload-only link that do not create a TaxDome client account or a portal login. A prospect who never logs in, uploads, sends a message or receives an invoice through TaxDome adds no activity.
- Create the client account at the engagement stage: where a booking or form tool creates a TaxDome account automatically when someone books, move that trigger to the point where the engagement letter goes out. Prospects who do not engage the firm then never start the 12-month window.
- Hold portal invites and automations back from leads: a contact record on its own costs nothing under TaxDome’s wording. Invites, welcome messages and automated organizers prompt logins, uploads and messages, and those are activity.
- Give former clients their documents without a new login: set out in the engagement letter how long portal access stays open after the work ends, and send document packs on request through a secure link outside the portal. A login to retrieve last year’s return is activity under the definition.
- Check payment volume and TaxDome’s own answers before signing: a pricing card pasted in the thread says every $1,000 collected through TaxDome Payments earns an account credit at renewal. Read the firm’s own in-app pricing card and TaxDome’s FAQ answers on mid-year growth, billing frequency and existing customers before the renewal is signed.
- Compare alternatives on the same client list: users in the thread named Karbon and Canopy, and other users replied that Canopy charges separately for features. A like-for-like comparison prices the same client count, seat count and add-ons on each vendor’s current pricing page, read on a stated date.
Where Canlah AI fits
Canlah AI is a Singapore-based SEO + GEO agency that also builds client-intake and workflow setups. It is not affiliated with TaxDome, does not resell TaxDome and cannot change how TaxDome counts or prices active clients; the count a firm is billed on is the one TaxDome’s system records. Canlah AI sets this up for tax and accounting offices as a fixed-price job: prospect intake and upload links outside TaxDome, client-account creation at the engagement letter and a split of the current account list before renewal. Everything is built in the firm’s own accounts. Email studio@canlah.ai.
Methodology and limitations
TaxDome’s terms were read from taxdome.com/pricing on November 3, 2026 at about 07:00 Singapore time, and quoted wording comes from that capture. Tier totals were read at about 08:10 the same morning by setting the client slider to each tier. The FAQ answers on the page were collapsed and were not read. Practitioner figures come from the r/taxpros thread “TaxDome Price Update”, posted November 2, 2026 at 14:28 UTC and read with 193 comments. They are self-reported and were not checked against invoices or TaxDome accounts. One worked example from the thread was left out because its author later corrected the figures. Karbon and Canopy pricing was not reviewed, and TaxDome can change its pricing and definitions at any time.
Frequently asked questions
What counts as an active client in TaxDome?
An active client in TaxDome is a client with any activity in the past 12 months, such as logging in, uploading documents, sending messages or receiving an invoice. Does TaxDome charge for imported contacts that never log in?
No. TaxDome’s pricing page says importing a client list is free and unlimited and that contacts without activity cost nothing. An imported contact becomes an active client only after activity such as a login, an upload, a message or an invoice within the past 12 months.
How much does TaxDome cost under active client pricing?
TaxDome’s active client pricing starts at 150 active clients for $1,500 a year, billed annually, which the pricing page shows as $0.83 per client a month, with 20 seats included.
